Is there any value in spending time and money to manage the P6 database? Absolutely!
Most of the projects / companies have no clue as regards the P6 database, how it works or it is to be managed. There are 3 practices in managing the P6 databases:
1- The planners use the Standalone database. Generally, the planner doesn’t know how to make a backup and therefore when something goes wrong he/she relies on the xer files as backup (if there is) or they declare everything is lost! The worst is that the company does not request for regular saving backups. So, it is all up to the planner and his/her knowledge to manage the database!
2- The company provides for server /cloud based P6. If there is a planning manager then, he/she sets up some limits (e.g. delete) to protect the schedules (not necessarily the database). If there is no planning manager, IT is running the P6 then all planners are superusers. The Planners import/export Schedules, create copies, develop what-if scenarios, etc. after a while the database either gets corrupted or it becomes so clogged up with thousands of resources, codes, calendars, etc. As a result, the company might lose data or might spend huge sums of money and time to recover the data!
3- The company provides server /cloud based P6 then set up a database management procedure in conjunction with the company’s policies and other procedures. Generally, they employ a database administrator who thoroughly knows the P6 database, how P6 works, scheduling and with good IT knowledge
